Court Intel Privacy Policy

Version 1.11 · in force from 15 October 2026 · On Padel Ltd trading as Court Intelligence, company 16077418, VAT GB487458238

On Padel Ltd, trading as Court Intelligence ("we", "us"), provides automation and analytics services to sports venues. This policy explains what personal data we handle, why, and what your rights are. It covers our website, the services we provide to venues, and the gate access page that players use at a venue.

1. Who we are

1.1On Padel Ltd, company 16077418, London House, 29a London Road, Stockton Heath, Warrington WA4 6SG. For anything in this policy, email support@courtintelligence.co.uk.

1.2For data about venue account holders and website visitors, we are the controller. For booking and player data, the venue you booked with is the controller and we process that data on its behalf and instructions.

1.3Our registration with the Information Commissioner's Office is in progress at the date of this policy. The registration number will be added here once issued.

2. What we collect and why

2.1Website visitors: standard technical information about your visit, used to keep the site running and secure, and aggregate, anonymous usage statistics. We do not use advertising or tracking cookies. If you contact us through the site we use what you send us to reply.

2.2Venue account holders: the details you give us when you open an account and order a service, a record of your acceptance of our terms, your payment and subscription status, and any booking-platform access you choose to give us so our services can work. Legal basis: performing our contract with you and meeting our legal obligations.

2.3Venue staff: staff use a venue's dashboard with the venue's shared sign-in and are not individually identified. Any staff contact details a venue enters for service notifications are held for that purpose only and are controlled by the venue.

2.4Players: to switch court lighting and operate gate access for a booking, our services use the booking details held by the venue's booking platform, including the name and email address on the booking. We hold on our systems only what the venue's dashboard needs, in a form that does not allow us to contact players, and we never message players. A player using the gate access page is asked for the email on their booking so it can be matched; it is used for that check only and is not kept. Legal basis: the venue's legitimate interest in operating its courts and doors, and its contract with the person who booked.

2.5Match scores and the leaderboard. Players on a booking can score their match on the entry page. A match appears on the venue's public leaderboard only if the players tick that option when they start it; the table shows first name and initial only, and any player can remove themselves from it at any time from the same page. Scores are kept for the venue's leaderboard history and are never used to contact anyone.

2.6Padel Daily newsletter. If you sign up, we keep your email address, how often you asked to hear from us, and when you signed up and confirmed. We add you only after you confirm from the email we send, and we use your address only to send Padel Daily. Legal basis: your consent, which you can withdraw at any time with the unsubscribe link in every email. Unsubscribing deletes your address from the list straight away.

2.7Enquiries and demo calls. If you ask us for a demo or a quote, leave your details with us (for example at an exhibition), book a call or start a trial, we keep your name, your club, your contact details and what you tell us, with notes of our conversations, so we can follow up and prepare. If we email you a link to one of our pages or to a video call, that link may record the time it was opened, so we know our email reached you; we do not record your location or device. We do this on the basis of our legitimate interest in answering and following up business enquiries, and you can ask us to stop or to delete these records at any time.

2.8Court cameras. Some courts have a camera, with a notice at the court saying what it is used for and who to contact. Depending on the court, it is used for: (a) video replay: during a booking the last minute or so of play is held in memory on the court unit and overwritten, and is kept only when a player on the booking saves a clip; (b) court monitoring: when someone is on a court that is not booked the camera detects them, a voice announcement asks them to book, and if they stay an alarm and warning light sound and a short clip and photo are sent to the venue team; (c) match analysis: some sessions are recorded in full to measure play (how players move, where they stand, the path of the ball), to produce statistics and to develop and test our court technology; and (d) the safety and security of players, the venue and its equipment. The camera does not record sound. Recordings are not published. Match statistics, and a short highlights video made from the recording, are shared on a private link with the players on the booking, who are shown only by the colours they wore unless they choose to add their first name and initial (to save typing, the page may suggest the first names and initials of the players on the booking, taken from the venue’s booking system, which a player confirms before any name is shown); a player can also choose to join the venue’s monthly league, which shows first name and initial only, and can leave it or remove their name at any time from the same page. To help each player find themselves, the private match page can also show two or three small pictures of each player taken from the recording, cropped to show their kit from the shoulders to the knees and never the face (an automatic check discards any picture in which a face can be seen). A player’s pictures are removed as soon as that player is named on the page, by themselves or by someone on their booking, and all of them are deleted 7 days after the booking at the latest; a player can have theirs removed straight away by tapping “This was me”, or by emailing us. Where a venue offers it, the players on a booking can pay to download the full recording of their own booking (at some venues the match statistics are part of what is bought, and are shown only once someone on the booking has paid); it can be bought for up to 30 days after the booking and downloaded until the day after that, and it is then deleted with the rest of the recording. When you buy a replay or a full match, we record your confirmation before paying (the wording, the time, and the internet address and type of device used), the email address Stripe collects for your confirmation email, and each time the full match is downloaded or watched or a paid match report is opened, with the time and internet address, so that we can show what was bought and delivered if a payment is questioned (legal basis: performing our contract with you, and our legitimate interest in defending payment disputes; see our Player Purchase Terms). Where a venue runs Rally of the Week, a replay a player enters is posted publicly on the venue’s social media, and may be posted on our YouTube channel, only if everyone in it has agreed; we record each agreement (the wording, the time, and the internet address and type of device) and any Instagram name a player gives for tagging, and anyone in the clip can withdraw it at any time, after which the post is taken down (legal basis: consent). An entered replay is kept until 30 days after its voting week. Legal basis: our and the venue’s legitimate interests in running the courts, protecting the venue and developing our services. You can object at any time: tell the venue team before you play and the session will not be recorded for analysis, or email us and we will delete a recording of your session. Where On Padel runs the venue itself we are the controller of camera footage; at other venues the venue is the controller and we process footage on its behalf.

3. Who we share data with

3.1We use carefully selected service providers for hosting, email delivery, payment processing and website statistics. They act only on our instructions and may not use your data for their own purposes. Card details are handled by our payment provider and never reach our systems.

3.2We do not sell or rent personal data, and we do not share it with anyone for marketing.

3.3Data is stored in the United Kingdom or the European Economic Area. We will disclose data where the law requires it.

4. How long we keep it

4.1Booking data used to run a venue's courts and gates is held only for as long as needed for the day's operation. Account data is kept for the life of the account and a short period afterwards, except records we must keep for tax and accounting purposes, which are kept for six years. Correspondence is kept for as long as it remains relevant. Newsletter addresses are kept until you unsubscribe; an unconfirmed sign-up is deleted after 30 days. Enquiry and sales records (including call notes and link opens) are kept for up to two years after our last contact, unless you become a customer. Court camera footage: replay clips that a player saves are deleted after 7 days; play held for replay and not saved is overwritten within minutes; alarm clips and photos are deleted within 30 days unless needed to deal with an incident; kit pictures on a match page are deleted when that player is named, or 7 days after the booking at the latest; sessions recorded for match analysis are kept for up to 32 days and then deleted (the full-quality recording for up to 14 days, then a lower-resolution copy, which the players on the booking can buy for 30 days, until day 32), though statistics derived from them that cannot identify anyone may be kept longer. Records of a player’s purchase, confirmation and downloads are kept with our payment records, for six years.

5. Security

5.1We protect personal data with appropriate technical and organisational measures, including encryption in transit, restricted access and protection against unauthorised sign-in attempts. If a breach affecting your data occurs we will inform those affected and the regulator as the law requires.

6. Your rights

6.1You can ask for a copy of the personal data we hold about you, ask us to correct or delete it, object to or restrict how we use it, and ask for it in a portable form. Email support@courtintelligence.co.uk and we will respond within one month. If your request concerns a booking, we may need to refer it to the venue as the controller of that data.

6.2If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk. We would rather hear from you first.

7. Changes

7.1We will update this policy when what we do changes. The current version is always at courtintelligence.co.uk/privacy, with its version and date at the top.
